Segmenting of information

In all business it is important to control the access to different information. Topaz Filer will allow you to segment the business information according to the business requirements. So for example accounts, sales and management can be kept separate. Each separate store can be kept in different locations or different systems and Topaz will also allow the automated capture of predefined metadata to be saved against the email depending on the filing destination.

For example Accounts emails may need "Date", "From" and "Subject" whereas Sales emails may need "Sent" or "Received", "Data", "From" and "Subject".

Each of the stores are called filing "models" and can be configured for each departments needs.

Storage models

Each of the different storage models can be defined to store to different locations on a network or document management system with each model having its own security settings. This helps the system administrator's control and maintains the infrastructure security in the most efficient way. This can also help in maintaining the speed of the network, reducing large amounts of data being transferred unnecessarily. For example rather than forwarding the same email to many people, it can be saved once and can be accessed by everyone with the  necessary security setting.
